Certificates look small. They aren't.

  • It never comes alone

A certificate request arrives in the middle of a renewal, with a deadline of “today” and a contract attached.

  • It pulls people off clients

Every interruption takes an account manager away from clients who are paying for advice, not paperwork.

  • Small errors get expensive

One wrong limit, holder name or missing endorsement can turn a five-minute task into an E&O problem.

  • Renewals pile up

Renewal season brings dozens of re-issues at once, just when your team has the least time.

  • The shared inbox breaks

A shared inbox works with ten requests a week. It stops working at fifty.

  • Nobody owns the queue

Requests get missed, two people do the same one, and holders chase you for updates.

How CertsDesk works

You send the request and make the licensed calls. We do everything in between.
  1. 1You

    Send us the request

Forward your certificates inbox to us, or let insureds, holders and lenders use your own request page. Emails from your approved senders are recognised automatically.

  2. 2Our team

We read it and prepare it

We read the email and any contract or lender letter attached, match the insured and holder, and prepare the certificate in your AMS, following your agency's own steps.

  3. 3Our team

    We check every requirement

Limits, additional insured, waiver of subrogation, primary and non-contributory, dates and notice are checked against the policy. Each one is met, needs a look, or isn't met. Nothing is guessed.

  4. 4You

    You decide anything unclear

If something isn't clearly covered, you get one plain question by email or in your portal. Special wording is confirmed with you before anything is issued.

  5. 5Our team

    Second review, then delivery

Complex requests, and a random sample of simple ones, get a second review. Then the certificate goes to the holder from your own email address and is filed against the insured.

See the full process

Checked before it leaves. Your agency decides.

The licensed decisions stay with your agency. We do the reading, matching and checking so those decisions are quick.

  • Every requirement, line by line

We read the contract or lender letter and check limits, additional insured, waiver, primary and non-contributory and dates against the policy. Each one is met, needs a look, or isn't met.

  • Questions, not guesses

Anything that isn't clearly covered comes to you as one plain question. We never stretch wording or promise notice the policy doesn't give.

  • A second pair of eyes

Complex requests, and a random sample of simple ones, are reviewed by someone other than the person who prepared them.

  • Full history

Who prepared, checked, approved and delivered each certificate, every step they confirmed, and when.

Everything your certificate desk needs

The certificate is only half the job. CertsDesk also keeps your certificates organised, your renewals on time and your clients served, all under your agency's name.
  • Your name, not ours

Certificates go to holders from your own email address. Your request page and your customers' sign-in show only your logo and colours.

  • Every certificate, filed by insured

Search any insured or holder and download what we've issued. Expiring certificates are flagged, with a Renew button.

  • Customers serve themselves

Give an insured's office access and they sign in with an emailed code to download their own certificates or ask for a new one.

  • Renewals before they lapse

Thirty days before a policy ends, we tell you which certificates are affected, or open the renewal requests for you if you prefer.

  • Built around your AMS

Your AMS, your masters, your holder rules and your wording library are written into the checklist our team follows on every request.

  • Checked step by step

Every certificate follows a step-by-step checklist that can't be skipped, and the person who prepared it never reviews their own work.

  • Always know where it stands

Track every request in your portal, get an email when we need an answer or a certificate is delivered, and a short summary at 5 pm if you want one.

  • Your choice of setup

We look up coverage in your AMS for each request. Or send us policy data and master certificates once, in a spreadsheet or PDFs, and we keep them on file.

Your clients see only you

Your agency gets its own page at certsdesk.net/youragency, in one of three designs, with your logo, colours and contact details. Put it on your website and in your email signature. CertsDesk stays in the background.

  • Holders and lenders request a certificate
  • Your customers sign in and download their own
  • Your team tracks every request and answers questions
  • Certificates are sent from your own email address

Renewals without the scramble

Thirty days before a policy ends, we tell you which certificates it affects, or open the renewal requests for you. Every holder from last term gets an updated certificate once the new policy is in.

Reports you'll actually read

Monthly volume, turnaround against what we promised, special-wording and rush counts, and an optional daily summary at 5 pm: delivered, waiting on you, in progress.

How we keep your data and AMS access safe

What agencies say about our team

CertsDesk is run by Xassure, formerly eDesk, rated 4.7 on Trustpilot.
  • Timely and Accurate

“In support of a top 30 broker's acquisition data migration, we subcontracted Xassure (Formerly eDesk) to handle the manual migration of Client, Policy & Certificates Data to the client's AMS360. The Xassure (Formerly eDesk) team was timely and accurate. We are looking forward to our next opportunity to work with Xassure (Formerly eDesk).”

    Rob Smith

    Principal, Newpoint Resources LLC

  • Happy To Review Xassure

“Xassure (Formerly eDesk) has been great for our agency. We're using two Virtual Assistant companies presently & we see a night and day difference between Xassure (Formerly eDesk) & the other company. Their end product is great. We're very pleased.”

    Max Olson

    Agency Owner, Olson Insurance Agency

  • Incredibly Grateful

“It's always nerve wracking working with an outsourcing vendor, since their knowledge and reliability are total unknowns. Our agency was referred to Xassure (Formerly eDesk) by a couple of our trusted contacts, which meant a lot to us. Fortunately, our experience with Xassure (Formerly eDesk) has also been absolutely stellar. We've found the Xassure (Formerly eDesk) team to be extremely experienced and accommodating to all of our workflows. We recommend them without any hesitation!”

    Sean Ortega

    Principal, United Western Insurance Brokers

Questions agencies ask

Do we have to change our AMS?

No. Certificates are issued in the system you already use.

Will our clients see CertsDesk?

No. Certificates go from your own email address, and your request page and your customers' sign-in carry only your name and logo.

Do we have to send you our policy data?

No. By default we look up coverage in your AMS for each request. If you'd rather, you can send policy data and master certificates once and we keep them on file.

What about special wording?

It's always checked against your policy and confirmed with your agency before anything is issued.

What happens at renewal?

Thirty days before a policy ends we tell you which certificates are affected. You choose whether we wait for you to ask or open the renewal requests ourselves.

How do you get into our AMS?

You create a separate user for CertsDesk. That keeps access clean and lets you switch it off any time.
